CONFIRMATION POLICY

At Ladan Spa, we kindly ask all clients to confirm their appointments at least 2 days (48 hours) before their scheduled service. If we do not receive a confirmation within that time frame, we will assume you are no longer able to make your appointment and it will be automatically canceled so we can offer the time to another client. Confirmations are sent via email/text, if you do not receive a confirmation email/text please contact us via email or call at least 48 hours prior to your appointment. This policy helps us maintain an efficient schedule, prepare properly for each guest, and ensure availability for those on our waitlist. If you need to reschedule, please contact us before the 48 hour cancellation period and we will be happy to assist you.

BOOKING POLICY FOR CLIENTS UNDER 18

To ensure the best possible care, any appointment for a client under the age of 18 must be scheduled directly with our front desk. Online booking is not available for minors. Please call in advance so we can confirm provider availability and make any necessary accommodations.

CANCELLATION, SCHEDULING & RESCHEDULING POLICY

Please remember, we are a small local business in YOUR community and rely on this policy and will enforce it at our discretion. This is not personal. Please do NOT ask for exceptions or allowances. We DO NOT ACCEPT SAME DAY CANCELLATIONS/RESCHEDULES. We recognize the time of our clients and staff is valuable and have implemented this policy for this reason. When you miss an appointment with us, we not only lose your business but also the potential business of other clients who could have scheduled an appointment for the same time.

Your appointments are very important to the members of LADAN Spa and they are reserved especially for you. We understand that sometimes schedules adjustments are necessary; therefore, we respectfully request at least 48 hours notice for cancellations or to reschedule your appointment.

CREDIT CARD REQUIRED ON FILE

We do not require a deposit at the time of booking; however, a valid credit card must be kept on file to secure your reservation. Your card will not be charged at the time of booking. It is held securely and will only be charged in the event of a "no-show" or a cancellation/rescheduling request that falls within our restricted policy window.

HOW TO CANCEL YOUR APPOINTMENT

Although our reception is always manned our emails are only checked periodically throughout the day, therefore we also ask that appointments are not canceled via email but rather are canceled over the phone to give us the best possible chance of filling the appointment. If an appointment cancellation has been attempted via email and we have not responded, this will mean we have not received it and you are therefore required to call, otherwise you may still be charged for the appointment.

STRICT AND ENFORCED CANCELLATION FEES

Please understand that when you cancel without giving enough notice, we miss the opportunity to fill that appointment time. Since services are reserved for you personally, the following fees will apply to the card on file:

  • Cancellations between 24 and 48 hours of the appointment will result in a charge equal to 50% of the reserved service amount.

  • Cancellations within 24 hours or “no shows” will be charged 100% of the reserved service amount.

  • Appointments made within the 48-hour period that need to cancel must do so within 4 hours of the original booking time, or it will result in a charge based on the timeframes above.

Emergency absences will be considered on an individual basis by LADAN Spa. You may request not to be charged for the late cancelled session in writing within 7 days if you feel such action is warranted. LADAN Spa will make the decision to honor your request on a case-by-case basis and will respond back to you in writing within 14 days.

It is mutually understood that if a cancellation is due to circumstances beyond any of our control, such as power outage, unfortunate incidence, or weather that requires us to have to cancel or be closed during regular business hours, we will reschedule your existing appointment and no charges will apply.

LATE POLICY

If you are going to be more than 15 minutes late to your appointment, you must notify us by phone BEFORE the start time of your appointment. If you fail to do so, you will automatically be charged for the entire service at the 10-minute mark. Please also note that if you are late for your appointment, you will be charged for the full service and we will complete as much as we can in the remaining time.

OUR POLICIES ALSO APPLY TO USE OF LADAN SPA GIFT CARDS

For parties using Ladan Spa gift cards, the same policies above apply. If there is a cancellation within our 48-hours policy, or a no-show/no contact, the applicable amount on your gift card will be deemed "used" and will not be available for use at a later date.
